STATEMENT OF DATA USE AND POLICY

A) MEMBERSHIP DATA.

SECTION A 1. MEMBERSHIP DATA AND RESTRICTIONS OF USE POLICY.

A 1.1) Information (Data) provided by BRSC Club Members within Membership and Berthing Forms or any other forms may be held both on the original forms and / or may also be consolidated electronically, e.g. included on a spread sheet database. Data derived from the forms is used to manage the Club (BRSC) via elected or nominated Officers and Committee Members in a manner that the Club Members determine to be in the interests of the Club and its Members.

A 1.2) Personal data is not shared with third parties for their use. As defined in section A.2., personal details are processed by third party suppliers for the club’s bulk Email system (Email sent to groups of Members) and conventional Email systems, accounting system and work task tracking system for DutyMan.

A 1.3) A copy of Personal data held will be provided on request. Removal of data may be requested. Some information may be required to be held for legal or accounting or tax reasons. Each Email sent in bulk has an opt-out provision.

SECTION A 2. SPECIFIC USE.

A 2.1) Data collected is currently used for the following purposes:

A 2.1.1) To transfer data to Email, bulk Email, postal or telephone systems used by the Club to enable contact with Members either singly or in groups to publicise functions and club events and for any reason that elected Committee Members may determine is necessary or required to operate the Club in the interests of the Club and its Members.

A 2.1.2) To consolidate membership information on a database for statistical purposes to analyse membership choices and preferences so that decisions on club functions and operations can be made, and to provide information required for the club’s systems.

A 2.1.3) To provide statistical information required by the RYA as a function of the club's affiliation to the RYA. (Personal data is not shared with the RYA.)

A 2.1.4) To provide data to enable printing and manufacture of Membership Cards.

SECTION A 2. SPECIFIC USE (continued):

A 2.1.5) To provide data to the accounting system that is used in the performance of Club business. The system may be used to provide information for bills, to request money owed to the Club by Members, to generate emails, invoices and receipts for Members, and to provide information to enable members to gain access to Direct Debit Payment systems.

A 2.1.6) To provide data to a computer system that is used to monitor the Club’s ‘DutyMan’ programme.

SECTION A 3. FUTURE REQUIREMENTS.

A 3.1) Changes to operational requirements that extend the use of Data will be made in accordance with the content of SECTION A 1.
